AVI’s Logistics Support Services division in Redhill seeks to attract an experienced individual to take on the role of an Administration Clerk. The incumbent will be responsible for ensuring all processes and procedural compliances are adhered to as well as all administrative deadlines are achieved.
Reporting Structure:
- Reports to: Compliance Manager
- Run and distribute outstanding POD reports.
- BesTime – updating working times and leave days weekly, loading new hires / casuals, conducting biometrics, allocating and removing site access, solve or escalate time and attendance queries.
- Leave Forms – review for accuracy and submission to HR.
- Travel - booking travel and accommodation on TravelIT.
- Expense Claim - compile monthly expense claims.
- Stationery - order stationery and office supplies.
- Incidents / Accidents - capturing incidents on the portal, following up on open incidents and closing out, distributing monthly incidents report for the safety meeting.
- Compile and distribute monthly safety meeting minutes.
- Hampers - staff hamper arrangements and queries resolutions, sending out hamper sheets and payroll deductions to HR, placing hamper stock order and filing hamper invoices.
- Boardroom bookings – monitoring and arrangement of boardrooms as required, including catering.
- Waste removal reconciliation.
- Monthly Q & FS Audit - schedule audit, preparing / compiling and distributing findings, compile the monthly Q & FS audit minutes.
- HACCP - maintaining the HACCP file.
- SOP's & Procedures - ensure all SOPs are updated in accordance with HACCP and Food Safety regulations and training is completed by the relevant department HOD’s, upload updated SOP's and training records to SharePoint / mySHEQ, distribute update SOP's and ensure they are trained and filed.
- National Audits - prepare audit sheets, compile findings, complete audit summary report.
- Conduct process procedure audits and 3PL Audits.
- Corrective actions – log, follow up and close out corrective action reports.
- Assist LSS Redhill with reports.
- Query resolution.
- Assisting the Compliance Manager with any adhoc functions that is required in the department.
Experience that set you up for success:
- 2 years Admin experience
- Proficiency in MS Office and MS Excel skills required
- SAP knowledge
- Valid code 08 driver's license
- Food Safety and HACCP knowledge would be advantageous
- Food Safety and Internal Auditor certification would be advantageous
- Grade 12 or equivalent
