AVI’s Logistics Support Services business unit seeks to attract an experienced individual to take on the role of a HR Administrator (HR). The incumbent will be responsible for ensuring a high level of attention to detail and accuracy in T&A, with specific attention to permanent and TES time administration. In addition, the administrator is to provide general administrative and office support to the Human Resources department to facilitate operational effectiveness and efficiency. This role will be based in Isando.

Key Performance Areas:
Time and Attendance Administration
- Extracts payroll report from BesTime on weekly basis, assess and circulates for approvals and amends per line manager approval, where applicable
- Collates and checks monthly overtime schedules for accuracy prior to submitting for processing
- Checks previous month's payroll queries for authenticity and does necessary changes on SAP, in conjunction with HRO
- Administers and monitors site clocking system and attends to site issues to mitigate down time on biometrics readers.
- Picks up any errors and logs call to correct
- Addresses all general queries received from management and employees with regards to weekly timesheets.
- Provides all parties timeously with the relevant and accurate requested HR documentation
- Compile and report on excessive overtime
General Human Resources Administration, Reporting and Recruitment
- Ensures all documentation required for leave administration is received, including leave forms and sick certificates are received for employees not ESS
- Captures all leave application forms onto SAP, including annual leave, sick leave, compassionate leave, maternity leave, unpaid leave, etc.
- Able to reconcile leave queries with ease
- Monitors leave balances, circulates monthly reports and attends to any queries and/or discrepancies
- Provides staff with confirmation of employment letters, service letters, etc. as required
- Processes garnishee orders through signing receipt from the sheriff, informing the employee and then submits document to HR Admin/ payroll for processing
- Sends personnel documents to HR Admin/payroll for scanning
- Uploads monthly payroll related documents onto SharePoint
- Maintains existing BU HR files updated with relevant information
- Informs HR Admin of any changes to employee details and information and follows through on the change action
- Assists with staff loan applications, bursary applications, home loan applications, claim forms
- Provides auditors with necessary files and documentation
- Addresses all general queries received from management and employees
- Provides all parties timeously with the relevant and accurate HR documentation
- Support the employee recruitment processes
- Provide admin support to the site HR team on the recruitment and selection process and working with the HR Admin Recruitment team when necessary.
- Provide support on A1 – B5 recruitment conducted on site level – inclusive of screening of CVs, scheduling and conducting interviews with Line Management.
- Sends any BU recruitment documentation to HR Admin for scanning and recording post placement
- Checks that all relevant HR documentation have been received and keeps all HR and confidential documentation and information up to date in a safe and secure environment (filing system or relevant HR database)
- Assists the HR Officer and / or HR Manager with the administration around the employee Wellness plan, including the ongoing communication of the ICAS offering
- Employee wellness initiatives, including supporting and assisting in wellness days, site events and site functions
- Active member of the site HR team, which includes supporting cost saving initiatives and continuous improvement projects and contributing towards the implementation of Site strategy
Labour Broker Administration
- Collates, checks and submits weekly timesheets for temporary employees to TESP for payroll processing
- Addresses all general queries received from management and employees
- Files documents and provides all parties timeously with the relevant and accurate HR documentation
Experience required:
- Minimum of 3 years’ Time and Attendance, HR general admin experience
- Knowledge of HR Policies
- Knowledge of HR Procedures
- Knowledge of SAP HR Module
- BesTime system knowledge
- Shift configuration
- Microsoft Office and MS Excel
Qualifications required:
- A completed HR qualification
- Grade 12 (Matric) is essential
